Prepare, type, format, and maintain sales contracts, reports, presentations, and correspondence in accordance with company standards and approved commercial terms. Manage the calendar, appointments, meetings, reminders, and business schedule of the Assistant Director of Sales to ensure effective time management and follow-through. Organize internal meetings, client appointments, and site inspections, including agenda preparation, minute taking, and action tracking.
Handle incoming calls, emails, letters, and other communication for the Sales office professionally and in a timely manner. Maintain accurate filing systems, databases, account records, and document control for contracts, correspondence, reports, and client-related materials. Support the preparation of weekly, monthly, and sales reports, production summaries, pipeline updates, and presentation materials for management review.
Coordinate with Reservations, Finance, Front Office, and Operations to ensure smooth communication and follow-up on client requirements, group details, and commercial documentation. Arrange travel, transport, accommodation, and other logistics for the sales team when required for business meetings, sales trips, and events. Monitor office supplies, administrative tools, and departmental documentation needs to support efficient office operations.
