Codification & Numbering: Establish and maintain a systematic numbering, coding, and naming convention for all QMS documents (e.g., SOPs, Work Instructions, Forms, Manuals, Quality Plans). Review & Validation: Inspect document formatting, grammar, and required approval signatures before official release. Master List Management: Create, update, and maintain the Master List of Documents to track the real-time status of all documents (Active, Revised, or Obsolete). Controlled Distribution: Ensure the secure and prompt distribution of new or revised documents to relevant departments or authorized personnel, via physical copies or Electronic Document Management Systems (e-DMS). Obsolescence Management: Withdraw and decommission outdated document versions from the workspace to prevent accidental usage, while archiving one master copy for historical reference. Access Control: Maintain document confidentiality and integrity by regulating user access rights (read, edit, print, or download permissions). Systematic Storage: Categorize and store physical and digital documents logically to ensure rapid retrieval during operational checks or audits. Quality Records Retention: Oversee the retention periods and disposal schedules for completed operational forms and quality records in compliance with company policies and legal regulations. Audit Readiness: Act as a key point of contact to provide necessary documentation and evidence during internal audits, client audits, and external certification inspections (e.g., ISO, government regulatory bodies). Floor Audits: Conduct periodic floor checks across production or operational areas to verify that employees are strictly using active, authorized document versions and forms.
